Responsibilities:

  • Coordinate with suppliers and internal departments such as Merchandising and Accounting to set up new vendors in the system.
  • Allocate stock to stores and ensure smooth stock flow across all retail locations.
  • Access and analyze weekly sales and stock reports to support decision-making.
  • Ensure accurate creation and follow-up of purchase orders.
  • Provide administrative support to the merchandising team, including documentation and reports.
  • Liaise weekly with the merchandising team to assist with stock or product issues.
  • Handle reimbursement processes for petty cash and cash advances.
  • Coordinate and follow up with related departments such as Marketing, Accounting, and Retail Stores.
  • Monitor and manage imported brands including documentation, shipment tracking, and coordinating with international logistics teams.
  • Handle product credit notes and claim processes for imported or defective goods.
  • Work closely with department stores and online platforms to ensure timely product allocation, stock availability, and promotions alignment.
  • Ensure all product master data, pricing, and promotions are correctly maintained in the system.
  • Communicate effectively with both local and overseas suppliers regarding deliveries, documentation, and product issues.


Qualifications:

  • Minimum 1–3 years of experience in merchandising administration, ideally with exposure to department stores or lifestyle brands.
  • Experience working with retail chains.
  • Strong communication and coordination skills with both internal teams and external vendors.
  • Proficient in English, both written and spoken, for communication with international suppliers/logistics.
  • Detail-oriented with strong organizational and administrative skills.
  • Must be proficient in Microsoft Excel (VLOOKUP, Pivot Table) and other MS Office tools.
  • Able to handle multiple tasks in a fast-paced environment and meet deadlines.
