Business Process Specialist

Are you the person who makes a system actually get used? Do you enjoy sitting with a team, working out why they are still doing something in a spreadsheet, and closing that gap with training, documentation and a better process? Can you carry a defined business support workload alongside that without letting it swallow the improvement work?

As Business Process Specialist, you are the key contact point between the business, Operations (Customer services and warehouse) and the IT teams. You provide timely ad effective front-line user support for internal tools and technologies. You are the key point of contact and specialist in our SOPs and workflows. You will develop, document and drive the activities around creating and managing the SOP's associated with Vallen's overall process including internal business and IT systems and operations.

What will you deliver?

  • System Adoption and Training (approximately 40%)
  • Own local adoption of Digital Hub, M3, WMS and other business applications for Vallen Thailand users, including onboarding key account users.
  • Run onboarding and refresher training in Thai for warehouse, customer service, sourcing and account teams, using approved regional material and localising it where needed.
  • Sit with users to find where a manual workaround has replaced available system capability, and retire the workaround through training, documentation or a process change.
  • Triage incoming urgent requests. Genuine application faults route to the Systems Team or IT. Training and process gaps are yours to own and close.
  • Give Heads of Department structured feedback on coverage gaps, particularly where handover is incomplete when a critical person is on leave.
  • Local Process Remediation and Digitisation (approximately 30%)
  • Investigate Thailand workflows that are manual, error-prone or creating commercial, operational or compliance exposure, and remediate the process rather than the individual case.
  • Priority targets on joining: the master quotation list, consumption and days-of-inventory reporting, and rebate and gain-share calculation. All are currently manual in Excel with insufficient checks, which is a commercial risk.
  • Move recurring manual reporting onto Digital Hub and standard reporting tools, with named owners and validation steps built in.
  • Support local site implementations and hardware-linked processes, including Modula installations. Verify physical conditions on site before a process is signed off. Site travel is part of the role.[HA1]
  • Escalate anything that requires regional process redesign or system configuration to the regional BPO and Systems Team, with the ground truth already documented.
  • Operational Hygiene, Local (approximately 10%)
  • Champion RBA audit / reporting, including liaising with internal and external stakeholders.
  • Maintain the Thailand layer of the BPO knowledge base: SOPs, user guides and training material, current version, correctly filed and findable.
  • Localise approved regional SOPs and templates into Thai, and keep them in alignment when the regional version changes.
  • Archive obsolete local content and run periodic reviews.
  • Business Support, Partial (approximately 20%)
  • Provide defined, recurring business support to the Thailand commercial and operations teams: reporting packs, data preparation and key account administration.


Key Qualifications

  • Bachelor's degree in Business, Supply Chain, Operations, Engineering, Information Systems or a related discipline.
  • Experience in system adoption, user training, business analysis, operational excellence or process improvement, ideally in distribution, logistics or manufacturing.
  • Demonstrated ability to train adult learners on business systems and to write clear user guides and SOPs.
  • Working knowledge of ERP and WMS environments, with strong Excel and reporting skills. Power BI or similar is an advantage.
  • Fully fluent in Thai and professional working English, written and spoken. You will translate between the two constantly.
  • Able to tell a training gap from a technical fault, and to route each to the right place.
  • Comfortable holding a boundary. This role carries a partial business support load and will be asked for more. You need to be able to decline and escalate rather than quietly absorb.
  • Willing to travel to Thailand sites and customer locations. Site travel is a requirement of the role, not an occasional exception.
  • Comfortable reporting into a regional function while working alongside the local country team, and able to hold both relationships.
