Administrative Coordinator

GreenDwell is an architectural design and consulting firm specialized in sustainable design. We are seeking a detail-oriented and reliable Administrative Coordinator to support the day-to-day operations of our studio. The ideal candidate will be responsible for a variety of administrative tasks and assist with basic internal accounting duties such as issuing invoices, handling petty cash, and coordinating with our external accountant.

This position is ideal for someone who is organized, proactive, and comfortable working in a creative, deadline-driven environment.

 

Key Responsibilities

Administrative Tasks:

  • Manage general office administration, supplies, and upkeep
  • Schedule meetings, handle internal correspondence, and maintain filing systems (digital and physical)
  • Assist with project documentation and proposal formatting
  • Support HR-related administration (e.g., staff leave tracking, onboarding coordination)

Accounting & Finance Support:

  • Issue tax invoices and receipts to clients
  • Track payment status and follow up on outstanding invoices
  • Record and reconcile petty cash expenditures and staff reimbursements
  • Prepare internal monthly expense summaries and payment schedules for review
  • Coordinate with external accountant for monthly and year-end financial reports, tax filings, and payroll

 

Qualifications

  • Bachelor's degree or diploma in Business Administration, Accounting, or related field (preferred)
  • 3 years of experience in an administrative or accounting support role
  • Basic understanding of accounting principles and invoicing procedures
  • Proficiency in Microsoft Office (especially Excel and Word); experience with cloud accounting tools (e.g., Xero, QuickBooks) is a plus
  • Strong organizational and time management skills
  • Good communication skills in both Thai and English
  • Ability to work independently with attention to detail

Nice to Have

  • Experience working in a design, architecture, or creative studio environment
  • Familiarity with Thai tax invoice format and VAT documentation
  • Interest or background in creative industries
