Office Administrator

For our new venture in Thailand, we are currently looking to recruit Office Administrator. Organization and communication are key to this role. The ideal candidate should have excellent communication skills, and experience working and managing communications with many different groups. He / She should be able to work efficiently and independently, to react with appropriate urgency to situations and events that require a quick response, to think creatively and be proactive in solving problems. The candidate should also have great attention to detail, strong organization skills, and the ability to easily switch gears.

We are looking for an individual who shares our values, who can get fired up about our mission, and who is excited to help us tackle larger and greater things such as our new venture in Thailand.

  • Act as an operational partner & an administrative liaison
  • Process legal correspondence, financial and administrative documents
  • Support obtaining work permits and visas, while providing logistical support
  • Establish contacts and communication channels with government institutions and state administration
  • Support finding office space and setting up the physical Adastra Thailand office premises
  • Assist internal and external stakeholders with basic research and information gathering
  • Handle logistics for all internal and external meetings and events, including arranging travel, accommodation, facilities, etc. as necessary
  • Provide general administrative assistance: screen and answer phone calls, schedule and organize meetings and appointments, manage and maintain calendars, print and sort emails, filing/printing/copying/etc.
  • Deal with overall office maintenance, housekeeping, repairs, office equipment and supplies
  • Coordinate administrative matters relating to multiple administrative functions, such as human resources, property management, space and facilities, financial services, including ensuring compliance with the appropriate guidelines & policies
  • Bachelor's degree in business-related majors
  • Advanced English language knowledge (spoken and written)
  • Computer literacy (Outlook, MS Office - Word, Excel, PowerPoint)
  • Proven experience in a similar role
  • Exceptional communication and interpersonal skills
  • Ability to interact autonomously with internal and external stakeholders
  • Ability to multi-task and prioritize in a dynamic environment
  • An understanding of business priorities in a timely manner
  • Superior attention to detail
  • Loyalty and responsibility
