We are a small company based in Chiang Mai, producing and distributing plastic parts in a growing market segment. We are looking for an Executive Assistant to support and work with the Associate Director. 


You will be acting as an extension of the Associate Director and management. You will ensure that assigned tasks to staff and teams are followed up and completed on time. You will help to identify and solve issues and - if necessary - work with management to solve them.

 

The Associate Director and our experienced management team (Thai & International) will be at your side to help whenever needed. Your work will cover a healthy mix of regular tasks and project tasks. Main Duties & Responsibilities 

  • Note down action items, distribute them to staff as per assignment, monitor & follow up on progress, raise non-compliance issues, assist in escalations & clarifications 

  • Assistance to the directors and management, including secretarial responsibilities, work scheduling, travelling, appointments; mail correspondence; work closely with the other directors

  • Support staff and the Associate Director in preparing of review meetings / documents (Inventory & Stock, Staff Planning, Sales Reporting and other meetings / documents)

  • Organize meetings, prepare agenda, ensure attendance of relevant parties

  • Handle confidential information while maintaining the security of the executive’s records and files

  • Facilitate smooth communications between the Associate Director and employees, other executives and managers 

  • Maintain the Associate Directors office and accounting records

  • Perform other administrative tasks using independent judgement and discretion. Plan, organise, and schedule own workload so that these activities are completed accurately and on time.

  • Provide advice to other functions and business units in order to assist in solution findings, recommend appropriate options to the problem regarding business expansion

Experience and Skills

We believe that hiring for attitude and match to our team is the most important - skills can be trained. However, having some of the following skills and experiences would be of advantage, but not necessarily required:

 

Educational Level

  • Bachelor or Master Degree in Business Administration, Manufacturing, Logistics or related fields.

 

Professional Qualifications

  • Excellent English & Thai Communications, read, write and speak and the ability to translate documents/meeting discussions from one language to the other

  • Very good computer skills, Google Office Software or Microsoft Word, Excel and PowerPoint 

  • Good minutes taking

  • Able to work long hours and under pressure

  • Detail oriented and able to make sound judgements.

 

Experience

  • 10 years experiences in personal assistant job role and with 5 years for Executive or top management level. Various Experiences in running project management or similar tasks

  • Exposure to work and standard processes in the Manufacturing Sector, Logistics, Product Development would be an advantage

Monday - Friday: 9:00-18:00, Saturday 9:00-13:00
