Main Responsibilities

The position of the Employee is to assist the Accountant/Secretary and the SG in administration and planning of the chamber’s activities. More specifically, the Employee’s tasks are related to office task, servicing the member and perform general administration related tasks.

Responsible for but in cooperation with the interns, and the SG organizing and coordinating office operations and procedures to ensure the effectiveness and efficiency of DTCC Secretariat administration including accounts and audit, accounts, IT. Make sure that the DTCC provide an optimal and prompt service for its members when asked for.

Job Description

The Sales Administrator is the back bone of the back office in terms of membership and event management, servicing the member and general administration.

  • Contacting members to obtain missing information for the chamber database and the directory or answering questions.
  • Process requests from email and phone.
  • Prepare monthly sales, event and member overview for the Board of Directors. Statistics on new members and cancellation of membership.
  • Communicate important feedback from members and non-members internally.
  • Taking minute of various meeting.
  • Assisting organization’s events by organizing venue, catering, invitation, set up and member registration at the events.
  • Assisting the secretary in maintaining and updating the membership database.
  • Maintaining filing systems and filling all correspondence.
  • Coordinate with associated organisations, other committee groups or guest speakers in preparing events and meetings.
  • Support other queries from members as appropriate
  • Support and observe monthly board meetings.
  • Coordinate with the Intern regarding E-newsletter, webpage, social media and general matters.]
  • Secretarial support to translation and administration of official papers.
  • Check the registration list for members sign up and issue invoices and receipts.
  • Ensuring the accuracy of HR Administrative such as time attendance and leave record.
  • Assist organization’s events by organizing venue, catering, invitation, set up and member registration at the events.
  • Assist the maintaining and updating membership database.
  • Maintaining filing systems and filling all correspondence.
  • Support other queries from members as appropriate.
  • Participate in 1-2 monthly member events outside office hours.
