Position Summary

We are seeking a highly organized, professional, and detail-oriented Executive Secretary to provide administrative and secretarial support to C-Level executives. This role will be responsible for managing schedules, coordinating meetings, preparing documents and presentations, handling communications, and ensuring smooth day-to-day operations for the leadership team.

The ideal candidate is proactive, service-minded, able to manage multiple priorities, and comfortable working in a fast-paced environment while maintaining confidentiality and professionalism.

Key Responsibilities

Executive & Administrative Support

  • Manage and coordinate executives' calendars, appointments, and schedules.
  • Arrange meetings, conference calls, and business appointments.
  • Organize travel arrangements, accommodation, transportation, and itineraries.
  • Manage executive correspondence, emails, and documentation.
  • Handle confidential information with discretion and professionalism.


Meeting Coordination

  • Schedule and coordinate internal and external meetings.
  • Prepare meeting agendas, materials, and supporting documents.
  • Attend meetings when required and record meeting minutes.
  • Track and follow up on action items and deadlines resulting from meetings.
  • Coordinate logistics for management meetings, workshops, and events.

Documentation & Presentation Support

  • Prepare, format, and organize reports, presentations, and business documents.
  • Compile information from various departments for executive review.
  • Maintain organized filing systems and records, both electronic and physical.


Stakeholder Coordination

  • Serve as a point of contact between executives and internal/external stakeholders.
  • Coordinate communications and follow-ups across departments.
  • Support the smooth flow of information between leadership and business teams.

Office & Event Support

  • Assist in organizing executive events, town halls, leadership meetings, and workshops.
  • Coordinate attendee registration, meeting logistics, and related administrative activities.
  • Support other ad-hoc administrative tasks as assigned.


Qualifications

  • Bachelor's degree in Business Administration or a related field.
  • Minimum 3 years of experience as an Executive Secretary, Executive Assistant, Personal Assistant, or related role.
  • Strong organizational and time management skills.
  • Excellent communication and interpersonal skills.
  • Proficiency in Microsoft Office (PowerPoint, Excel, Word, Outlook).
  • Ability to maintain confidentiality and handle sensitive information.
  • Strong attention to detail and follow-through.
  • Fluent in Thai and English.
