Job Summary
  • Draft correspondence /report/ document such as email, letters, memos, reports and agendas as needed
  • Handle and prioritize all outgoing or incoming correspondence (i.e. email, letters etc.)
  • Maintain Executive's agenda and assist in planning appointments, schedule and attend meetings, create agendas and take minutes
  • Reminding the manager/executive of important tasks and deadlines
  • Liaise with staff in other departments and with external contacts

Job Description
  • Maintain Executive's agenda and assist in planning appointments
  • Handle and prioritize all outgoing or incoming correspondence (i.e. email, letters etc.)
  • Deal with telephone and email enquiries, using an email system (i.e. Microsoft Outlook, Microsoft Team365)
  • Create and maintain filing and other office systems
  • Keep diaries and arrange appointments
  • Schedule and attend meetings, create agendas and take minutes
  • Book meeting rooms and conference facilities if required
  • Liaise with staff in other departments and with external contacts
  • Order and maintain stationery and equipment
  • Organize travel and accommodation for staff and other external contacts
  • Draft correspondence /report/ document such as email, letters, memos, reports and agendas as needed
  • Reminding the manager/executive of important tasks and deadlines
  • Ensure efficient and effective administrative information and assistance

Qualifications
  • Bachelor's degree in social, psychology or related fields
  • Minimum 3 years working experience in secretarial or administrative role
  • Good command in English, both written and spoken
  • Proficient in computer literacy
  • Outstanding communication and negotiation abilities
