Secretary Support Associate
atThai Beverage PCLResponsibilities
- Compliance, Monitoring & Reporting
- Monitor legal, regulatory, economic, and political developments in Vietnam and relevant international markets.
- Collect, summarize, and translate key news and articles related to SABECO, Vinamilk, ThaiBev-related entities, competitors, and relevant parties.
- Prepare compliance-related memos, summaries, and activity reports for management and relevant internal units.
.Corporate Affairs, Process Improvement & Training
- Support corporate affairs and company events, including hospitality arrangements, executive visits, and event coordination (travel, accommodation, and on-site support).
- Develop onboarding materials, process documentation, and training programs to support operations and management readiness.
- Streamline workflows for meeting preparation, document proposal, and reporting processes to improve efficiency.
- Subsidiary & Governance Support (BeerCo and Subsidiaries)
- Manage legal entity meetings (AGM, BOD, ExCom, SRMC), including scheduling, agenda preparation, invitations, materials, meeting setup, minute-taking, and issuance of required written resolutions.
- Draft, review, and coordinate documents with internal legal teams and external legal firms to ensure regulatory compliance.
- Prepare and manage documents requiring Directors' execution, including coordination of signing processes and follow-up on signatures.
- Monitor and support various transactions related to the supervision of subsidiary (e.g., IPT, capital increases or decreases).
- Track statutory submission deadlines and maintain compliance records to support timely filings and audits (e.g., company factsheets, audit confirmations, directorship records, and updates of Directors' personal information).
- Organize, maintain, and archive corporate documents in accordance with good governance practices.
- Vietnam Market & Stakeholder Support
- Prepare Vietnam-related reports, and official letters in English and Vietnamese for internal and external use.
- Interpret, update, and maintain data on Vietnam business activities.
- Maintain Vietnamese stakeholder records and support engagement and coordination plans.
- Support Corporate Social Responsibility (CSR) initiatives by drafting proposals, managing reports, and coordinating communications.
- Other ad hoc duties as assigned
Qualifications
- Minimum 3 - 5 years of experience in Corporate Secretary, Compliance, Corporate Affairs, Executive Support, or related functions.
- Knowledge of corporate governance, board/shareholder meeting administration, and regulatory compliance processes.
- Strong skills in preparing reports, meeting minutes, official correspondence, and business documents.
- Excellent coordination, communication, organizational, and stakeholder management skills.
- Detail-oriented, highly responsible, and able to handle confidential information with discretion.
- Proficient in Microsoft Office applications (Word, Excel, PowerPoint, and Outlook).
- Good command of English, Thai , Vietnam both written and spoken.
- Experience in multinational companies or exposure to Vietnam-related business operations will be an advantage.
