Store Planning Executive

Retrofit, Retail Support Office and Renovation Project Support- Initiate and supporting local retrofit projects management for Fashion Boutiques and retail support office to improve the space efficiency and function aspects. To ensure the project has right function and fit with the need
- Prepare data for local retrofit projects. Provide zoning, space study, site information, function preference and valid information for construction work
- Responsible for back of house enhancement in retrofit and fashion boutique projects. Preparing drawing and design proposal for validation and progress review
- Preparing all necessary documentation work, request for proposal, contract, tendering for contractor and design pitching. Includes process monitoring
- Manage the logging and completion of all local retrofit projects and ensuring the turnaround time for completion and improving the accuracy of information and timeline
- Oversee project technical and construction work, time, cost, and quality control. Visiting the construction site and factory for production quality checking as needed
- Coordinate all related activities to retrofit project with contractor, landlord, retail office team and boutique team
- Work closely with local designer and contractor to develop, educate design and shop drawing, material proposal for construction for local retrofit projects
- Work closely with Assistant Manager – Store Planning and Maintenance on retrofit project management and report, key project timeline, design, construction drawing and pitching approval, expenses/ budget tracking
- Tracking and manage retrofit project expenses. To ensure all the costs are reasonable and controlled under the approved budget and complied with company standards
- Landlord and contractor relations management, make collaboration and negotiation where necessary
- Record and support a document and construction management for existing/new/ renovation/ retrofit projects
- Manage and support all procurement documentation process to comply with internal finance management. Creating PRO, follow-up job completion and handling Invoice
- Support documentation work for logistic and tracking oversea shipment arrival for imported retrofits and new/renovation projects material
- All related administration work may assign
Reporting
- Set-up and provide accurate/on time reports on weekly/ monthly activities
- Abilities to keep track of and report on project activities as well as monitor projects timeline.
- Create PRO and follow-up with external contractors/ vendors until job completion
- Keep track of retrofits project expenses
- Solid understanding of boutique design, retail operations system and office design
- Abilities to read and understand complicated technical drawings
- Strong understanding of health and safety regulations and practices
- Excellent understanding of interior design, mechanical, electrical, plumbing and security systems
Processes & Policies
- Work closely with internal parties: retail, visual merchandising, warehouse, and finance team to ensure the project planning and functions are aligned to the need
- Ensure health and safety policies are in compliance with CHANEL standards
- Ensure store planning plans are following CHANEL standards and local regulations
- Formalise the contractor agreements and service levels. Manage relationships with contractors and services
Person Specifications:
Academic / Professional Qualifications
Academic / Professional Qualifications
- Degree from Bachelor in Interior Design
- High levels of computer literacy, Word, Excel, PowerPoint, Sketchup 3D, AutoCAD, Photoshop, Illustrator
- Good command of English
- Project management base is preferrable
Work Experience
- Minimum 6 years of design experience, preferably in retail fashion/ office and graphic design is a plus
- Experience in completing the design for office/ retail project and construction
- Experience in project planning and management for new/renovation/ expansion projects and in maintenance operations
