We are a U.S. based Architectural / Engineering / Construction and Real Estate Development company that has an immediate requirement for a responsible Executive Assistant to perform a variety of administrative and clerical tasks in our newly opened Bangkok (Thonglor), Thailand branch office. Ultimately, a successful Executive Assistant should ensure the efficient and smooth day-to-day operation of our office, assist the In-Country Director / General Manager with his duties, and collaborate with our U.S. office. What does an Executive Assistant do? Duties of the Executive Assistant include managing the executive function of the Thailand office, assist the In-Country Director / General Manager with duties and proactively track all the projects, initiatives, decisions, and actions to be determined and pursued, assisting in daily office needs and managing our company's general administrative activities. Additional responsibilities include making travel and meeting arrangements, translate Thai documents to English, assist with interpreting meetings, preparing reports and maintaining appropriate filing systems.
The ideal candidate should have excellent oral and written communication skills in both English and Thai Language and be able to organize their work using tools, like MS Excel, MS Word, MS PowerPoint, and maintain and operate office equipment. If you are a highly resourceful team-player, with the ability to also be extremely effective independently and/or have previous experience as a Secretary or Executive administrative assistant and familiarity within our industry, we'd like to meet you.

  • Answer and direct phone calls.
  • Organize and schedule appointments.
  • Plan, join and minute internal and external meetings, drive effective follow-up, including correspondence and next steps.
  • Write and distribute email, correspondence memos, letters, faxes and forms.
  • Assist in the preparation of regularly scheduled reports.
  • Develop and maintain a filing system.
  • Update and maintain office policies and procedures.
  • Order office supplies and research new deals and suppliers.
  • Maintain contact lists.
  • Book travel arrangements.
  • Submit and reconcile expense reports and conduct basic office bookkeeping.
  • Create and maintain budgets.
  • Provide general support to visitors and U.S. staff when they are in country.
  • Act as the point of contact for internal and external clients.
  • Liaise with executive and senior administrative assistants to handle requests and queries from senior managers and U.S. head office.
  • Translate documents from Thai to English language (For Internal Use).
  • Interpret meetings.
  • Support drafting of contracts/agreements.
  • Handle and arrange the paperwork such as work permit, social insurance, register tax ID etc. (all with our Lawyers).
  • Assist in any other task as required.
  • Knowledge of office management systems and procedures.
  • Working knowledge of office equipment, like video conference equipment, printers and fax machines.
  • Proficiency in MS Office 365 (MS Excel, MS PowerPoint, MS Teams, and MS Word in particular).
  • Excellent time management skills and the ability to prioritize work.
  • Attention to detail and problem-solving skills.
  • Excellent written and verbal communication skills (English and Thai Language).
  • Strong organizational skills with the ability to multi-task.
  • Ability to travel (limited requirement).
  • Minimum High School degree preferred college degree or bachelor's degree; additional qualification as an Executive / Administrative assistant or Secretary will be a plus.
  • Preferably Proven experience as an executive assistant, administrative assistant, or office admin assistant.
  • Good Looking, Well Dressed and Smart.
  • All successful candidates must be able to demonstrate excellent verbal and written communication skills in English since the entire internal communication will be in English.
