• Provide fluent Japanese language support for client communications, including telephone, email, and face-to-face interactions.
• Coordinate and facilitate meetings, presentations, and negotiations with Japanese clients and business partners.
• Prepare translated documents, reports, and correspondence in Japanese to ensure clear communication and documentation.
• Support the sales team by responding to inquiries, providing product or service information, and assisting with quotation preparation.
• Maintain detailed records of client interactions, sales activities, and administrative tasks in both English and Japanese.
• Assist with scheduling, appointment coordination, and logistical arrangements for client visits and events.
• Liaise between Japanese-speaking clients and various internal departments to ensure seamless service delivery.
• Support the development and maintenance of client databases and customer relationship management systems.
• Contribute to sales activities by assisting with proposals, follow-up communications, and client retention initiatives.
• Perform general administrative duties including filing, data entry, and office organization.
• What we're looking for.
• Fluent Japanese language ability (both written and spoken) - equivalent to JLPT N2 level or higher.
• Proven experience in a coordinator, administrative support, or sales support role.
• Strong proficiency in English language skills for internal communication.
• Excellent organizational and time management abilities with the capacity to manage multiple tasks simultaneously.
• Exceptional communication and interpersonal skills with a customer-focused mindset.
• Proficiency in Microsoft Office applications (Word, Excel, PowerPoint) and database management.
• Attention to detail and accuracy in documentation and record-keeping.
• Ability to work effectively both independently and as part of a collaborative team.
• Professional demeanor and the ability to represent the company positively to clients.
• Previous experience in recruitment, staffing, or related industries is highly advantageous.
• Familiarity with Japanese business etiquette and cultural practices is desirable.
