Key Responsibilities:
Student Administration and Attendance
- Administers student attendance processes through iSAMS, maintaining accurate attendance records, daily absence reporting, and follow-up of registration discrepancies.
- Communicates student early departures and attendance-related matters to relevant staff, ensuring timely follow-up and record accuracy.
- Liaises with parents, Tutors, and Heads of Year to resolve attendance discrepancies and outstanding registration or documentation requirements.
Secretarial and Office Administration
- Oversees and coordinates key administrative and secretarial services for the Secondary School community, including communications management, stakeholder liaison, meeting coordination, and general administrative support, ensuring efficient and professional service delivery.
- Coordinates meetings and appointments between parents, students, teachers, and other stakeholders.
- Supports the administration of examinations and assessments, including student examination sign-in/sign-out procedures, the issuance of temporary student passes, scanning and handling of examination materials, and the distribution and record-keeping of examination timetables and certificates (IGCSE, IB, and Patana Academic Diploma), ensuring accuracy, confidentiality, and compliance with school procedures.
- Provides administrative coordination and operational support for school events and activities, including Key Stage Dances, Foundation Board Awards, Graduation ceremonies, fundraising initiatives, and year group or faculty events, ensuring effective planning and delivery.
- Coordinates administrative aspects of residential trips, including attending pre-visit, managing parental consent processes, coordinating required documentation, supporting trip organiser requirements, and liaising with parents, staff, and external providers. Accompanies students on residential trips as required, providing on-site administrative and operational support and ensuring all post-trip follow-up actions are completed.
- Manages the Secondary School petty cash process, ensuring transactions are accurately recorded, reconciled, and administered in accordance with school financial policies and procedures.
Student / Parent Customer Service
- Supports the development and maintenance of service standards for Secondary Office operations by acting as first point of contact for all enquiries and phone calls in relation to Secondary School activities / information.
- Assists in resolving complex parent and student enquiries, escalating matters as appropriate with Heads of Year and Safeguarding Leads.
- Coordinates student support services relating to Drop-Off and Found Property, maintaining accurate records and ensuring the timely collection and sign-off of items.
- Facilitates communication between parents, guardians, students, and staff regarding transport changes and other time-sensitive messages.
- Maintains up-to-date knowledge of school activities, events, and communications through regular review of school publications, calendars, and internal communication channels, enabling accurate and timely information to be provided to parents, students, and staff.
- Provides academic past records as requested by parents.
Records, Data and Documentation Management
- Ensures that individual student Policy Document is returned and kept on file
- Coordinates the student clearance process for departing students, preparing clearance documentation and liaising with relevant departments to confirm the return of school resources and the completion of outstanding obligations.
- Administers student recognition records, including house points, curriculum awards, certificates, and prize vouchers, ensuring records are accurate and awards are issued in a timely manner.
- Assists with individual student termly report checking ensuring that all students have complete set of reports. Follows up with individual staff / Head of Faculty for any missing grades
Office Operations and Resources Management
- Oversees annual administrative projects including locker allocation, student transitions, and academic year setup activities.
- Coordinates stock orders for the Secondary Office, Heads of Year, and academic staff, liaising with the Purchasing Department as required.
- Performs other
duties and responsibilities
as assigned by, and agreed with, the Supervisor.
Qualifications:
- Bachelor's degree in Business Administration, or a related field.
- Minimum 2-3 years of administrative, secretarial, customer service, or school-based administrative experience.
- Experience working in an educational environment or an international school setting would be an advantage.
- Experience in scheduling, correspondence, and general office administration.
Knowledge & Skills:
- Excellent verbal and written communication skills in English.
- Strong customer service and interpersonal skills with the ability to interact professionally with students, parents, staff, and external stakeholders.
- Highly organized with excellent attention to detail and accuracy.
- Proficient in Microsoft Office applications, including Word, Excel, Outlook, and PowerPoint.
- Ability to prioritize multiple tasks, meet deadlines, and work effectively in a busy office environment.
- Demonstrates integrity, discretion, and a commitment to maintaining confidentiality.
