- Provide day-to-day administrative support to the Curator and Curatorial Department.
- Maintain departmental calendars, schedules, project trackers, contact lists, and organized digital filing systems for shared files.
- Schedule internal and external meetings, circulate agendas, supporting materials, meeting notes, and action lists.
- Prepare presentations, briefing documents, correspondence, forms, and other materials as required.
- Assist with travel arrangements, itineraries, accommodation, and related administrative matters for curatorial staff, artists, scholars, and other invited guests.
- Maintain an overview of departmental project deadlines and flag upcoming or overdue deliverables to the Curator. Track follow-up items and coordinate with relevant staff to ensure that outstanding actions are completed.
- Memos, Budgets, Accounting, and Procurement.
- Assist the curators in preparing budgets and tracking expenditures for exhibitions, programs, publications, research projects, artist commissions, and other curatorial activities.
- Communicate with administrative coordinators, accounting, and procurement teams to ensure timely submission of documents and payments.
- Assist the curators in preparing memos and documents for cash advance and reimbursement of departmental expenses.
- Prepare budget summaries and expenditure reports for the Curator and Museum leadership as required.
- Project Management and Timelines.
- Create and maintain detailed project timelines, task lists, and project trackers for exhibitions, programs, publications, acquisitions, and other curatorial initiatives.
- Coordinate information and deadlines between Curatorial and other departments, including Collections, Conservation, Exhibition, Learning and Public Engagement, PR and Communications, and Operations.
- Follow up with internal and external parties regarding outstanding information, approvals, materials, and deliverables.
- Flag delays, conflicting deadlines, missing information, or potential risks to the Curator in a timely manner.
- Assist with coordinating exhibition and curatorial program schedules, including artist visits, openings, talks, and other events.
- Exhibition and Program Support.
- Provide administrative and logistical support for exhibitions, curatorial programs, artist projects, talks, lectures, workshops, symposia, and other departmental activities.
- Coordinate the collection and distribution of artist and artwork information, images, biographies, exhibition histories, and other materials as required.
- Assist in coordinating correspondence with artists, galleries, estates, collectors, lenders, scholars, foundations, archives, copyright licensing organizations, and other external partners.
- Assist with fact-checking and compiling information for exhibition texts, labels, publications, presentations, and internal documents.
- Assist with organization and maintenance of research materials, including bibliographic references, artist files, and archives.
- General.
- Work collaboratively with colleagues across the museum to support the smooth realization of curatorial activities.
- Support the Curatorial Department during periods of increased activity, including exhibition installations, openings, public programs, and other major institutional events.
- Perform other duties reasonably related to the responsibilities of the position.
- Degree in Project Management, Business Administration, Arts Administration, or a related field is preferred.
- 3-5 years of relevant experience in project management or administration of cultural institutions is preferred.
- Strong organizational and communication skills.
- Excellent attention to detail and ability to maintain accurate records.
- Fluency in Thai, strong written and verbal communication skills in English.
- Proficiency in Microsoft Office Suite, particularly Excel, Word, and PowerPoint.
- Ability to manage multiple projects, deadlines, and competing priorities simultaneously.
- Ability to work independently while maintaining close communication with the Curator and wider museum team.
